Summary
A Benefits Administrator is responsible for managing employee benefits programs, including health, dental, vision, life insurance, and retirement plans. They assist employees with benefits enrollment and inquiries, interpreting policies, and process changes related to life events. The role involves maintaining accurate records, ensuring compliance with regulations, and handling sensitive medical records confidentially. Additionally, the Benefits Administrator coordinates with insurance carriers, conducts regular audits, and resolves discrepancies to ensure accurate benefit deductions and payments.
Responsibilities
- Administer employee benefits programs (health, dental, vision, life insurance, voluntary benefits, retirement plans, etc.) and assist employees with benefits enrollment, questions, and issues.
- Provide guidance on benefits-related matters and process benefit changes and notifications related to life events.
- Respond to employee inquiries promptly and professionally, maintaining accurate employee benefits records in HRIS and provider systems.
- Handle sensitive employee medical records confidentially and coordinate with insurance carriers and benefits providers.
- Conduct regular audits to confirm the accuracy of benefit deductions and ensure the accuracy of billing invoices, requesting payments timely.
- Generate and distribute benefit packets for new hires and rehire and manage benefit packet material supplies.
- Prepare and distribute benefit communications, audit and track benefits expenses, identifying cost-saving opportunities.
- Monitor high-cost claimants and analyze data for self-funded plans, staying current with federal and state regulations related to employee benefits.
- Obtain, post, and distribute required compliance notices and posters, and manage Qualified Medical Child Support Orders (QMCSOs).
- Process weekly benefit and retirement account funding, and request DB 120.1 certificates from disability providers.
- Verify compliance with union contracts regarding benefit arrangements and assist in the execution of yearly open enrollment.
- Pull electronic ID cards from multiple provider systems upon request, and update and maintain the FMLA Worksite Location Grid.
- Participate in monthly ACA Health Compliance meetings, and assist in the yearly audit of 1095-C forms, 401(k) plans, and non-discrimination testing.
- Work with third-party leave vendors to support the leave process, and coordinate with the HR team for accurate benefit and employment verifications.
- Support the company’s wellness and culture improvement initiatives.
- Assist with benefit-related and special HR projects as needed.
- May be assigned other duties and responsibilities as needed.
Qualifications
- Associate’s degree required; bachelor’s degree preferred.
- One year’s experience in an office setting preferred.
- Proficiency in Microsoft Office Suite and Adobe required.
- Excellent written and verbal communication skills.
- Strong organizational, multitasking, and time management abilities.
- Attention to detail and problem-solving skills.
- Commitment to maintaining confidentiality.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
