Job Summary
The Workforce Innovation Program Coordinator will play a critical role in facilitating and managing workforce development programs that cater to diverse populations, including marginalized and underserved groups. The ideal candidate will be responsible for coordinating various workforce development programs in local, high demand construction and advanced manufacturing industries. In collaboration with Program Managers/Directors, training providers, employers and community partners, the coordinator will help to facilitate workshops, training programs and career exploration events; including maintaining program schedules, supporting program logistics, and coordinating outreach efforts and case conferences.
This position requires a detail-oriented, organized problem solver with strong interpersonal skills and the ability to quickly build rapport with diverse clients. The ideal candidate will be comfortable using technology to track information and manage program processes. This role provides a unique opportunity to connect with diverse populations, facilitate skill-building programs, and support individuals in their journey toward meaningful employment.
This position will eventually be part of the ON RAMP staff. ON RAMP is a workforce development organization that CenterState CEO is launching as part of the Governor’s initiative to train Central NY residents in manufacturing and construction.
Essential Job Duties and Responsibilities
Program Coordination (50%)
- Assist in the planning, scheduling and logistics of workforce development programs including Pathways to Apprenticeship, Bridge to Advanced Manufacturing and other workshops, training sessions and career exploration events.
- Oversee the daily operations of programs, as needed; this may include attending programs to help coordinate transportation, ensuring materials, equipment and resources are prepared in advance. If programs or events are held off-site, coordinate logistics such as venue bookings, transportation, and setup requirements to ensure seamless operations.
- Work closely with program facilitators, trainers, and guest speakers to ensure they have the necessary materials and support for delivering high-quality programming. Confirm schedules, program content, and any special requirements.
- Facilitate communication between program participants, instructors, partner organizations, employers and staff to ensure smooth program operations.
- Monitor attendance and engagement of program participants, providing support as needed to help individuals stay on track with their goals. This includes communicating with participants to answer questions and refer them to support services.
- Help maintain a master program calendar for all partner training programs.
Database Maintenance (20%)
- Maintain and update an accurate database of potential clients, ensuring information is up to date for outreach and follow-up efforts.
- Assist with collecting applicant and participant data to track progress and outcomes.
- · Work with training providers and educational partners to collect information on program deadlines and requirements to populate and maintain a master program calendar for all approved partner training programs.
- · Coordinate in-program data collection. Ensure program documentation is complete and accurate, including client intake forms, progress reports and evaluations. Provide regular program progress updates. Maintain accurate records and reports regarding program activities and participant progress.
- Gather feedback from program participants to assess program effectiveness and suggest improvements.
Outreach & Recruitment (20%)
- Assist in the development and execution of outreach strategies to recruit potential program participants. This may include attending community events, partnering with local organizations, using social media and email communications to promote program opportunities.
- Coordinate outreach activities, including Tech & Culture and Construction outreach sessions, ensuring broad engagement with target communities.
- Work with partners to support case conferences from outreach sessions, ensuring information is shared with partners and client follow up actions are tracked and executed.
- After outreach events, follow up with participants to gather feedback, ensure they have access to additional resources, and keep them engaged in future opportunities. Coordinate training referrals as needed. Track participant progress and outcomes and maintain clear records for future reporting.
