We are seeking a detail-oriented and proactive Administrative Assistant to provide comprehensive administrative support under the guidance of the Sr. Director of Facilities and Campus Services (FCS) Finance & Administration. In this role, you will play a pivotal part in ensuring smooth operations across various departments, including finance, facilities contracts, HR, and IT.
Key Responsibilities
Administrative Support: Assist the Sr. Director, managers, and team members with administrative tasks, including managing complex calendars, organizing meetings, and handling travel logistics using the Concur system.
Communication: Respond promptly to inquiries from various stakeholders and serve as a reference for policies and guidelines.
Coordination: Work with individuals inside and outside the university on highly confidential matters, maintaining the utmost professionalism and discretion.
Office Management: Perform general office duties, coordinate capital assets inventory,. manage cell phone requests and audit Pcard and KFS security roles.
Financial Transactions: Provide back-up support for financial transaction processing .
Event Planning: Support FCS committees, plan and prepare for events, and coordinate with colleagues across the university.
Documentation: Prepare correspondence, reports, announcements, and presentations.
Recruitment: Coordinate recruiting efforts for F&A staff, including managing applications, scheduling interviews, and participating in the evaluation process.
Technology: Maintain the department website, manage the SharePoint site, and support special projects, and support IT-related projects.
