Program Assistant – Cornell K. Lisa Yang Center for Wildlife Health

This position will be based in the Department of Population Medicine and Diagnostic Sciences at the Cornell University College of Veterinary Medicine.
The Opportunity
As a Program Assistant, you will provide essential coordination and support for all center activities, including programs and projects, research grants, contracts, finance, budget, information systems, travel and events, logistics and procurement, fundraising, and marketing and communications. We are seeking a highly organized and detail-oriented Program Assistant to join our team and support a wide range of programmatic, operational, and administrative activities.
Key Responsibilities:
Program Administration:
Support the coordination and management of legal agreements, and process and track invoices.
Monitor and review center accounts, budgets, and expenses; reconcile discrepancies; prepare expense reports.
Coordinate and assist in grant proposal development and project management activities, such as preparing informational materials, budgets, and reports.
Help administer the K. Lisa Yang Wildlife Health Fellows Program, Catalyzing Conservation Fund, and Student Support Fund, including issuing requests for applications, coordinating the review process, issuing awards, and conducting post-award follow-up.
Arrange travel and process reimbursements for faculty, fellows, staff, and visitors.
Develop and manage databases to meet center needs.
Order supplies and merchandise; research vendors and maintain inventory; assist with biological sample importations.
Program Communications and Outreach:
Coordinate and oversee logistics and advertising for meetings, presentations, workshops, and other events, including the K. Lisa Yang Wildlife Health Speaker Series.
Represent the center and serve as an onsite administrator at events both on and off-campus; interact with and share programmatic information with faculty, staff, and students.
Administer the website and perform content updates; monitor quality assurance.
Develop, update, and design marketing and communication materials (e.g., brochures, reports, fact sheets, videos, merchandise, and other visuals/media) for public outreach in coordination with other program staff.
Manage the CYCWH email account and coordinate responses to inquiries.
Serve as a resource and contact for faculty, staff, student groups, visitors, and other internal/external stakeholders; share program information, information on training programs, and student opportunities.
Other Responsibilities:
Coordinate and foster collaborative relationships with units across Cornell and external stakeholders.
Proactively participate in training and development opportunities.
Represent the center at meetings and conferences; participate and contribute to working groups as appropriate.
This is a full-time (39 hours/week), 3-year term, Contract College position that is based in Ithaca, NY. Term extension may be possible based on performance and funding availability. This position is eligible for a 3:2 campus-to-home hybrid work arrangement. This hybrid work arrangement is subject to change at any time. Work hours are flexible but will be mutually agreed upon. This position may require some evenings and weekends to assist with center programming.
What You Need
We are looking for a team member who has excellent organizational, problem-solving, and communication skills. Additionally, you will:
Hold an Associate’s degree and have a minimum of 4 years of relevant experience providing program or administrative support, or an equivalent combination of education and experience.
Have excellent interpersonal, verbal, and written communication skills; ability to clearly present information to diverse audiences.
Be highly collaborative with an affinity for forming and maintaining strong working relationships; ability to work with and support diverse groups; excellent service skills.
Be highly organized with strong attention to detail, accuracy, and record-keeping.
Have excellent self-management practices to successfully oversee and organize competing priorities to meet deadlines.
Demonstrate sound judgement with strong and creative problem-solving skills.
Demonstrate ability to troubleshoot, adapt to, and make recommendations for changes/improvements.
Handle sensitive, confidential information with tact and discretion.
Self-motivate with an aptitude to work well both independently and in a team environment; able to perform duties with minimal direction.
Be highly reliable with a flexible, positive mindset.
Be experienced with Microsoft Office Suite and the ability and interest to learn new software and technology.
Demonstrate the ability to push, pull, lift, or carry up to 20 pounds.
Have flexibility to work outside normal business hours occasionally.

If you possess these experiences and skills, this may be the role for you! There are a few other qualifications we would view as incredibly helpful in this role, including:
Bachelor’s degree in business administration, communications, sustainability, or similar field.
Experience working with grants, contracts, and/or budgets.
Experience in marketing and communications and media management; creative design skills.
Experienced with Adobe Creative Suite, website content management software (Drupal), and SAP Concur.
Strong science writing skills for public outreach.
Project management or event planning experience.
Knowledge or interest in wildlife conservation and/or One Health.

Rewards and Benefits
This position is eligible for a hybrid work arrangement. Employees typically perform this role
remotely 2 days per week and on-campus 3 days per week. The university reserves the right to modify, suspend, revoke or terminate the hybrid work arrangement at any time.
This position is based in Ithaca, New York. The New York Convenience of Employer guidelines require New York State individual tax reporting and withholding for this position. Additional individual state income tax filings may also be required if working temporarily outside of New York State.
