About the Department of Materials Science and Engineering
Cornell's Department of Materials Science and Engineering (MSE) has a long and distinguished history of successfully educating leaders for a wide variety of industries and academia. MSE graduate students master a set of core concepts and principles critical to a fundamental understanding of materials science and engineering. Programs are tailored to meet needs and interests of our students across four strategic research areas: Energy Production and Storage, Electronics and Photonics, Bio-inspired Materials and Systems, and Green Technologies.
The Opportunity
The MSE Graduate Program Coordinator plays a vital role in supporting the operations of the Materials Science and Engineering (MSE) department by providing in-person assistance to students, faculty, and staff. Reporting to the Assistant Director of Graduate Programs (ADGP) and working closely with the Director of Graduate Studies (DGS) and the MSE administrative team, this position supports MSE’s PhD, MS, and MEng programs. The coordinator ensures the smooth execution of graduate-related services and activities, serving as the primary contact for student inquiries.
Key Responsibilities:
Graduate Student Support: Provide essential services and guidance to MSE graduate students (PhD, MS, MEng). Serve as a primary point of contact for students regarding program-related questions and concerns. Assist students in navigating program requirements and available resources.
Event Planning and Coordination:Assist in the planning, organization, and execution of program events, including orientations and graduation ceremonies. Coordinate logistics, communications, and materials for both new and current students at various events and activities. Facilitate engagement through event support for faculty, students, and staff.
Recruitment, Admissions, and Enrollment Support: Collaborate with the ADGP and DGS to support graduate field recruitment efforts. Assist in managing the admissions process, including applicant communications, document coordination, and event support. Provide administrative assistance with student enrollment, ensuring all processes are efficiently executed.
Student Progress Monitoring and Requirement Verification:Track and monitor student progress throughout the program, ensuring all milestones and requirements are met. Verify the completion of degree requirements and assist with coordinating the necessary documentation. Provide timely reminders and support to ensure students are aware of deadlines and academic expectations.
Administrative and Programmatic Support: Offer general administrative support to MSE’s graduate degree programs. Support faculty and staff with various tasks related to student administration and program management. Help maintain accurate records and databases for student progress, program activities, and academic requirements.
Communication and Outreach: Develop and distribute marketing materials to promote the graduate programs and highlight program opportunities. Ensure clarity in program requirements by developing informational materials and maintaining updated program documents.
Frontline Support and Inquiry Management: Serve as the first point of contact for students, faculty, staff, and visitors, responding to inquiries with professionalism. Provide clear and accurate information regarding program details, policies, and procedures. Maintain effective communication and collaboration with all stakeholders, addressing concerns or routing them to appropriate personnel.
This is a full-time (39 hours/week) endowed position that is based in Ithaca, NY and fully on-site. Typical work hours are 8am-4:30pm Monday through Thursday and 8am-3:30pm on Fridays. There may be occasional evening and weekend hours to assist with department events.
What You Need
We are looking for a team member who is customer service oriented, adaptable, tech proficient, and collaborative. Additionally, you will:
Hold an Associate’s Degree and 2 to 4 years related experience or the equivalent combination.
Have experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing including: experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds, an ability to serve as an advocate for individuals of all ethnicities, genders, ages, and backgrounds, and ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff, and community members.
Demonstrate excellent customer service skills with the ability to communicate clearly and concisely.
Leverage organizational skills to manage multi-step processes to completion, proactive and independent in a team environment.
Demonstrate the aptitude to learn software programs quickly, understand data relationships, and create meaningful reports.
Work effectively in environments with frequent interruptions.
Be available to work during commencement weekend, PhD Open House weekend, and potentially other school events scheduled during off-business hours.

Bachelor’s degree with one to two years of experience in a student services-related role.
