POSITION SUMMARY
The Business Operations manager is responsible for managing financial resources, procurement, and administrative processes to ensure the smooth and efficient operation of the Library and Information Technology (IT) departments. The responsibilities of this position are distributed with approximately 70% of the time dedicated to the Library and 30% to IT.
PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS
Job duties specific to this position:
Shared Responsibilities:
Budget and Financial
Maintains accurate and timely financial records
Assists with tracking financial data and performs analyses of data as directed
Prepares periodic budget reports for management review
Performs internal budget reviews as directed
Interacts with partners and College personnel to resolve financial issues and directs financial issues to the appropriate manager for resolution
Monitors budgetary status, tracking obligations, actual and anticipated expenditures, and projected budgetary variances, and prepares the necessary documents to maintain balanced accounts
Provides administrative and budget support to the departments, including providing department leaders with information for budget activities
Procurement
Manages the full procurement lifecycle, from initiating requisitions and purchase orders to tracking orders, receiving goods, processing invoices for payment, and reconciliation
Coordinates departmental credit card purchases, maintains receipts, and performs credit card reconciliation
IT Department, Only:
Procurement
Compares prices and recommends vendor selections, maintains records, handles returns, and audits invoices and materials received for accuracy
Maintains vendor relations and resolves issues as they arise
General Administration
Assists IT managers with general administrative tasks as needed
Library Department, Only:
Budget and Financial
Coordinates the Library budget request process, including collecting sub-department requests, calculating overall needs, and consulting with the Director of the Library
Technology
Manages Library staff access, rights, and privileges for the Library Service Platform (LSP)
Serves as administrative contact between the Library and its LSP vendor to coordinate software upgrades and resolution of system access issues
Interfaces with IT to manage Library patron records within the LSP
Serves as the main contact between the Library and IT for general issues, including software and equipment maintenance and problem resolution
Facilities
Oversees the maintenance and cleaning of the Library and its furnishings
Monitors and reports facility issues to Physical Plant
Manages the Library front door keycard swipe access
General Administration
Compiles data for statistical analysis of Library resource use activity
Supports grant applications and administration by gathering supporting documentation, coordinating the submission of proposals, monitoring grant budgets, and preparing financial and programmatic reports to meet funding agency requirements
Manages the stock of general office supplies
Assists the Director of the Library and Library sub-departments with special projects and initiatives

QUALIFICATIONS
Bachelor's degree in business administration, accounting, finance or a related field, or an equivalent combination of education and progressively responsible experience in financial management, procurement, and administrative operations
Experience managing budgets and developing financial reports
Highly organized and detail-oriented with a proven ability to effectively manage resources, prioritize tasks, and meet deadlines in a complex, multi-departmental environment
Experience with electronic mail and calendaring, Microsoft Word, Excel, and PowerPoint and/or comparable office productivity software
Experience with ERP systems and electronic purchasing, requisition and related financial systems.
Ability to comprehend, learn, and master new technologies and skills
Ability to collaborate effectively among diverse constituencies and organizational units
Possess strong analytical, quantitative, and numeracy
Possess exceptional oral, written, and interpersonal communications

Pay Range: $61,000 - $65,000 annually
