Job Description: The Technical Assistant for Registration & Records is responsible for facilitating daily Registration & Records processes, retrieving and interpreting documents, such as transcripts, grade changes, and other common forms, and managing frequent in-person, phone, and email contacts with the general public and college community. This position assists in all aspects of Registration & Records processes. Judgment is important in the performance of duties. Decisions are made within the limits of established policies and procedures. The successful candidate must have the ability to handle multiple tasks, prioritize and meet deadlines. POSITION RESPONSIBILTIES - Perform duties related to record processing including:
- Transcript retrieval and initial logging
- Transfer credit entry
- Colleague student record maintenance, including registration transactions and program changes
- Master schedule changes
- Ensure accuracy and data integrity for all system data
- Running and interpreting reports
- Scanning
- Provide assistance with the transfer credit evaluation process by preparing transcripts for evaluation by the Coordinator of Transfer Credit.
- Serve as contact for any members of the campus community with questions related to Registration and Records functions.
- Evaluate, prioritize and screen requests concerning admission, registration, financial aid and related processes as needed during peak times.
- Assist with all Registration and Records activities, such as Commencement, other special activities as needed.
- Assist with processing program changes, dual/concurrent degree requests, readmissions, reinstatements, grade changes, petition processing, master schedule changes, classroom changes, and transfer credit entry during peak times.
- Assist with special projects related to student records and data integrity.
- Handle confidential information with tact, discretion and in compliance with FERPA regulations.
- Other duties as assigned within scope of responsibilities.
Requirements: MINIMUM QUALIFICATIONS: Associate degree from an accredited college program or foreign equivalency. Mastery in Excel and Word. PREFERRED QUALIFICATIONS: Bilingual in English and Spanish. English and another language will be considered. KNOWLEDGE, SKILLS AND ABILITIES: - Excellent communication skills (Oral and Written)
- Experience utilizing and operating customer relationship management (CRM) and student information system (SIS) database programs
Additional Information: This is a Grade 6, non-tested CSEA union position. The starting salary is $45,291 based on a 35-hour work week.
