Job Description: The Coordinator of Enrollment Management Systems and User Experience, reporting to the Director of Enrollment Management Systems and User Experience, and under the direction of the Vice President of Enrollment Management, is responsible for helping shape the overall user experience (UX) strategy, design direction, and communication methodologies of our products and services relating to the recruitment and retention of students - guiding them through admissions, acceptance, enrollment, and beyond. This position will assist the Director in providing strategic guidance in the utilization of the enterprise Customer Relationship Management (Slate CRM) system, and share in the responsibility for the design, maintenance, and support of the College website Content Management System (Drupal CMS). The coordinator will be expected to exercise independent judgment related to the technical aspects of assignments and serve as the primary business liaison to areas outside Enrollment Management such as Marketing and New Media, Admissions Processing, and Information Technology Services (ITS). This position will collaborate closely with cross-functional teams across the College to create intuitive, engaging, and delightful user experiences. MAJOR RESPONSIBILITIES - Assist the Director in driving the UX vision, strategy, and goals aligned with the College's objectives.
- Assist in the development of a Web experience and Slate CRM strategy to maximize enrollment and student engagement in the enrollment process.
- Effectively execute and measure the efficacy of multi-channel enrollment communications plans in the CRM platform and on the Web.
- Manage the daily administration and support of the CRM and related systems, including but not limited to managing user setup, profiles and roles, customization of objects, fields, prompts, queries, forms, portals, and source imports.
- Create and manage complex workflow rules and data validation to support enrollment and communication strategies.
- Design and build reports of key enrollment metrics and data to support the Enrollment Management team in analysis and planning for enrollment functions and to support student enrollment and completion.
- Perform complex cross-departmental functional analysis working internally with team members and with ITS including mapping, creation of workflows, testing and troubleshooting of current and new business processes. Develop written procedures and user manuals to ensure proper use of enrollment systems.
- Work closely with Enrollment Management, Marketing, ITS, and other stakeholders to gather insights, prioritize features, and ensure seamless integration of design solutions.
- Conduct user research to deeply understand user behaviors, needs, and pain points. Use data-driven insights to inform design decisions and iterate on user experiences with the Web and CRM communication environments.
- Assist in performing complex cross-departmental functional analysis by mapping and creating workflows, and testing and troubleshooting current and new business processes.
- Assist in conceptualizing complex workflows to support enrollment and communication strategies.
- Assist in establishing and creating KPI's and metrics, custom reports, and dashboards to measure the effectiveness of UX efforts and to support the Enrollment team.
- Ensure accessibility standards are met across the CRM and Web platforms. Make necessary changes, and work with external parties when necessary, to be fully compliant.
- Serve as the backup functional-user expert for the Slate CRM and Drupal CMS. Provide functional support and training for various teams regarding any new functionalities and features in partnership with ITS and third-party vendors.
- Remain knowledgeable of new Slate CRM and Drupal CMS features and functionality and provide recommendations for improvements as they become available.
- Ensure the overall quality of data by performing data quality control procedures, including review and completion of data change requests, keeping a data dictionary, checking, and merging duplicate contacts, standardizing data and ensuring that the necessary data fields are populated according to college data standards.
- Provide user support and troubleshoot issues when necessary.
- Perform database maintenance including importing and exporting data, using data mining techniques and ensuring data integrity.
- Share responsibility for day-to-day maintenance, configuration, optimization, and support of outreach systems, including the CRM and College website.
- Perform other related duties as assigned.
Requirements: MINIMUM QUALIFICATIONS - Bachelor's degree from an accredited college or university or foreign equivalency
- A minimum of 2 years of professional experience in higher education, CRM, CMS, or related field, or equivalent combination of education and experience
- Knowledge of information technology and computing applications, preferably as implemented in higher education.
- Proficiency in industry-standard design tools (e.g., Canva, Sketch, Figma, Adobe XD)
- High Proficiency with Drupal content management system, HTML, and CSS, SQL, PHP, JavaScript
- Project Management experience
- Experience with web accessibility, WCAG 2.0 compliance, Section 508, and Siteimprove
- Experience with Fireworks, Extinguisher, Slate, or other enrollment and/or CRM systems
PREFERRED QUALIFICATIONS: - Bilingual in English and Spanish. English and another language will be considered.
KNOWLEDGE, SKILLS & ABILITIES: - Must possess excellent interpersonal, writing, and verbal communication skills
- Must possess a thorough knowledge of Microsoft Office 365 software applications
- Must be able to analyze and resolve complex problems independently
- Must work effectively in a team environment
- Must be able to manage multiple priorities and meet accelerated timelines
- Experience working with marketing and recruitment within a college environment is a plus
- Strong understanding of user-centered design principles, usability best practices, and interaction design.
- Experience with Ellucian (Colleague), Fireworks, Extinguisher, Mongoose, Slate, or another enrollment and/or CRM systems a plus
- Excellent communication and collaboration skills, with the ability to influence stakeholders at all levels
- Experience working in Higher Education a plus
Additional Information: - Salary range is: $48,400-53,000, commensurate with credentials and relevant experience.
