Job Title: Patient Access Medical Imaging Scheduler Department: Registration

Reports to: Patient Access Supervisor Revision Date: 2/8/2023

Grade Level: 14 Status: Non-Exempt

BROAD FUNCTION:

Strong understanding of the entire registration and revenue cycle ideology. Staying current and up-to-date in all Patient Access implementations and education. Responsible for all duties related to the scheduling cycle while using multiple programs and resources. Work under conditions of constant interruption and subject to time pressure and process change requirements. Facilitate all components of the patient’s scheduled procedure prior to patient presentation for study/exam. Communicate the hospitals’ financial policies and other required documents to all patients. Identify patients who require financial counseling. Knowledge of Advance Beneficiary Notice, ICD10 coding, CPT codes, general anatomy, and medical terminology. Communicate with provider offices, co-workers and other service areas and employees. Responsible for understanding authorization and medical necessity at time of scheduling the appointment, obtaining authorization for studies at time of scheduling the appointment per insurance requirements. Promote culture of ownership.

MAJOR RESPONSIBILITIES

  • Maintain positive interpersonal relations in dealing with patients and their families so that the patient perceives a positive experience, which includes dissemination of information and resolving customer complaints.
  • Demonstrate positive interpersonal relations in dealing with co-workers, physicians, physician’s office staff, and other members of the health care team to achieve optimal customer service, departmental goals, efficiency, collegiality, Oswego Health Values, and quality care.
  • Demonstrate the ability to provide information, guidance, and assistance to patients and provider offices.
  • Perform third party payer verification and payer eligibility requirements. Knowledge of payer requirements to include No Fault and Workers Compensation claims.
  • Initiate required service authorizations. Document pertinent data accurately in ARM.
  • Complete daily, weekly, monthly tasks in a timely manner, inclusive of but not limited to financial support activities and designated department and organization competencies.
  • Complete all department documentation accurately as assigned based on familiarity with basic forms of medical terminology, seeks assistance or resources to ensure accurate documentation of patient visit complaints and admission diagnosis descriptions.
  • Follows all physician entry designated procedures to include but not limited to Doctor Other, multiple locations and address changes.
  • Function through multiple Meditech modules as well as the electronic ordering system.
  • Strong ability to multitask and work under stress while keeping composure and is able to perform at a high level of accuracy.
  • Be able to work independently, problem solve, take instruction both in verbal and written form.

JOB SPECIFIC TASKS

  • Competent to perform all comprehensive scheduling registration requirements as well as the comprehensive scheduling competency.
  • Ability to perform outpatient registrations.
  • Perform all phases of scheduling with accuracy and accountability.
  • Ability to work under stress, meet deadlines and perform daily assignments with a high level of accuracy.
  • Perform and have strong attention to detail and maintain knowledge and competence of concurrent education that is distributed.
  • Be able to independently identify appointments that need more attention and identify the methods instructed for resolving difficult or conflicting accounts.
  • Must display excellent phone etiquette for all phone interactions.
  • Complete an accurate registration and perform an accurate scheduled appointment to provide information to maximize reimbursement and ensure timely and thorough information to all other providers and users of the patient data.
  • Verify insurance, obtain appropriate CPT and ICD10 codes for authorization, and benefit maintenance.
  • Be knowledgeable and proactive of insurance authorization requirements at time of scheduling.
  • Inform provider offices of authorization requirements per insurance plan and medical necessity per CMS guidelines for designated studies.
  • Take calls for admissions and follow proper procedure in relating the information from the caller to the admission/authorization staff.
  • Coordinate scheduling of service areas for patients requiring one or multiple tests.
  • Identify and assign appointments via electronic orders for scheduled requests.
  • Perform down time procedures accurately.
  • Explain patient prep, way finding and other instructions to the patient.
  • Collaborate with physician offices to obtain accurate orders and diagnoses for outpatient testing.
  • Communicate any/all schedule changes with the scheduling group as well as the technologist performing the study in a timely manner.
  • Direct patient/provider inquiries or complaints to the appropriate medical staff members and follow up to ensure satisfactory resolution.
  • Use all resources and education that are offered to ensure a compliant and accurate scheduled appointment.

QUALIFICATIONS:

High school diploma or equivalent. Clerical and computer knowledge is required. PC data entry and strong customer services required. Knowledge of medical terminology, to include anatomy and third party insurance process preferred. Prefer 1 year of customer service in healthcare and/or healthcare registration or medical imaging. Knowledge of Medicare, Medicaid and other contract payers preferred. Typing skills, minimum of 35 wpm. Strong communication required both written and verbal.

Pay Range: $17.44-$18.10/hr

Employee salary is based on commensurate experience and other qualifications.
