This is an on-site, in-person position and will provide direct administrative assistance to the Chair of Microbiology and Immunology and Director of the Global Health Institute. Duties include: preparing and sending correspondence, managing personal and departmental calendars, supporting meeting preparation, maintaining documents and electronic files in an orderly fashion, supporting special projects such as faculty promotions and appointments and faculty searches, planning teleconferences, supporting travel arrangements and financial reimbursements, formulating budgets, and other specific departmental and institutional tasks as assigned. Candidate will provide administrative support for the medical school curriculum, coordinating lecturer schedules, updating lecture materials online, reserving rooms, and coordinating preceptors. The candidate will organize and schedule visiting professor research seminars and faculty recruitment visits including travel reimbursement and maintain and update department websites. Candidate will support grant development activities as requested including preparation of biosketches, facility description; support awarded grant activities including financial transactions, budgeting, ordering of equipment and reagents, travel documents. Candidate will support financial transactions related to the department's core instrument facilities.
Bachelor's degree and one year of administrative experience OR and Associate's degree and 3 years of administrative experience required. Excellent written/oral communication, computer, and analytical skills required. This position is not remote, the candidate will be required to be on-site.
Experience in administration, including financial record keeping and reporting strongly preferred. Experience with grants and contracts expenditures, and with Upstate financial and other systems, preferred. Prior experience in administration, including financial record keeping and reporting strongly preferred. Experience in website maintenance preferred.
