Job Description
The Assistant Director of Student Events and Activities supports the planning, coordination, and execution of student events and activities that foster a vibrant, inclusive, and engaging campus environment. Collaborates with students, faculty, staff, and external partners to ensure a diverse range of activities that enhance student life. Oversees and provides late night and pop-up programming/events including Orange After Dark (OAD), Let’s Be Engaged, and Senior Celebration. OAD includes both on-campus and off-campus events that are offered Thursday, Friday, and Saturday evenings during the academic year. Plans, implements, and supervises late-night events (OAD) each week, including the scheduling of staff and student personnel, helping with oversight of the program budget, as well as all marketing and promotion of the program. The Assistant Director develops and implements effective student leadership and engagement initiatives across the Student Engagement (SE) department. The Assistant Director creates a cohesive and inclusive environment for student staff and volunteers through onboarding, training, and performance evaluation opportunities. Lastly, the Assistant Director serves as co-advisor to University Union, the University’s official student-run programming board.
Education and Experience
  • Master’s degree required.
  • Two (2) plus years of experience of large-scale campus programming required.
  • Prior supervisory experience preferred.
Skills and Knowledge
  • Knowledge of best practices in university student activities, experience supervising and developing professional and student staff, and strong assessment skills.
  • Demonstrated ability to prioritize and manage multiple demands with excellent organizational skills.
  • Cultural competence with a commitment to creating and sustaining equitable programs and events responsive to the needs of a diverse and changing campus community.
  • Knowledge of 25Live scheduling system and Anthology Engage software preferred.
  • This position will work non-traditional business hours during the academic year with a modified weekly schedule including at least two evenings a week until 2 a.m. on Thursday, Friday, and/or Saturday evenings.
Responsibilities
  • Work with the Student Events and Activities team to create and execute late night and pop-up programming. This includes a very robust OAD event calendar directed towards students who are looking for late night social events.
  • Collaborate with other units across the Division and University and try to streamline all late-night social alternative programs into a more comprehensive and inclusive calendar for the entire student body.
  • Coordinate logistics for events, including venue selection, catering, transportation, and technology needs.
  • Assist with contracts, payments, and vendor relations as needed.
  • Ensure all events comply with university policies and procedures.
  • Oversee all aspects of marketing including flyers, tabling opportunities, digital signage, banners, and other giveaways/ promotional items.
  • Seek out new relationships with partners on campus to build awareness of the OAD brand.
  • Develop and implement an onboarding and professional development program for student staff and volunteers, including those involved with Orange After Dark Events Board, S.E.A. Interns, and occasionally University Union.
  • Work with all Student Engagement Assistant Directors to create and deliver consistent specialized training modules that address areas such as event planning, leadership development, DEIA, risk management, and effective communication.
  • Develop team-building activities, orientation sessions, and student retreat opportunities.
  • Supervise 12 OAD Event Managers (EM), 3 Student Events and Activities (S.E.A.) Interns, and up to 20 student volunteers.
  • Provide guidance and mentorship to student staff and volunteers.
  • Identify and implement ways for students to take on leadership roles within the university community.
  • Create a professional development program as part of their learning experience, and provide them with responsibilities that enhances their professional skillset and personal growth.
  • Coordinate assessment of Orange After Dark, and other programs and services and utilize data to inform future programming.
  • Conduct regular assessments and surveys to gauge student employee satisfaction and identify areas for improvement.
  • Provide co-advisement and support to University Union, the university’s premier student programming board.
  • Collaborate with student leaders and the board to develop a programming calendar that aligns with the university’s mission and meets the diverse needs and interests of the student body.
  • Offer guidance and mentorship to student leaders involved in University Union, ensuring their work aligns with university policies and procedures.
